ACTION : Leave requests and approvals for 2023-2024

Reminder – Please take the required measures prior to the deadlines noted in the email below.

At the end of each fiscal year, the Human Resources team must update, close out and reset the HR Self-Service System to get ready for the new year. Consequently, we are asking you to take the following actions in the system.

  • Employees:
    • Before March 31, 2024: Submit and obtain approval for any outstanding leave requests in the HR Self-Service System.
    • Starting April 1, 2024: The HR Self-Service System will be accessible to submit leave requests only for the 2024-2025 fiscal year. Leave requests with an effective date prior to April 1 will have to be submitted using the Application for leave form via the Service Desk – HR Compensation.
    • Starting April 15, 2024: The integration of all leave balances in the HR Self-Service System will take place over the weekend of April 13 and 14. As of April 15, you are encouraged to check your balances and report any discrepancies to the Service Desk – HR Compensation.
    • Compensatory leave: Compensatory leave requests issued based on accumulated overtime may only be submitted once the year-end process is completed.
  • Managers:
  • By March 31, 2024: Process all leave requests including amendments in the HR Self-Service System.
  • For requests that cannot be submitted through the system:
  • Important: All leave requests and amendments submitted by employees that have not been processed by March 31 will automatically be approved in the system. However, amendment requests pending deletion, such as cancellation requests, will automatically be denied on April 1.

You can access the detailed procedures for employees, supervisors, and third-party leave requesters at all times.
