For your action: Leave requests and approvals for 2025-2026 fiscal year

Dear colleagues,

With the fiscal year-end quickly approaching, we are preparing for the mandatory annual shutdown and reset of the HR Self-Service System (PeopleSoft). Therefore, all pending leave requests and amendments must be processed and completed in the System to ensure the accuracy of year-end leave balances.

All staff

  • Before March 31st:
    • Submit your leave requests in the HR Self-Service System.
    • Review and process all outstanding leave requests, including amendments in the Manager Self-Service System.
    • Any employee requests not processed by March 31, 2026, will be automatically approved in the HR Self-Service System.
  • As of April 1st:
    • No transactions can be submitted for the 2025-2026 fiscal year.
    • Leave requests must be submitted to your manager for approval by completing an Application for Leave Submit the duly signed form following internal procedures.
    • Compensatory time requests must be sent by using a completed and approved Time Worked and Extra Duty Report through a Jira ticket.
    • Leave requests for the 2026-2027 fiscal year may be submitted through the HR Self-Service System.
  • As of April 15th:
    • Requests for accumulated compensatory leave (810) will only be available starting from this date.
    • Verify your updated leave balances and report any discrepancies to the Service Desk (leave updates in the System will take place on April 11 and 12).

Detailed procedures for employees, supervisors, and third-party requesters can be found in the HR Self-Service System Quick Reference Guide.

If you have questions on the conditions of leave or your leave balances, please refer to the Collective Agreement or contact your manager.

For any other questions, please submit your request to the HR Service Desk for assistance.

Thank you,

Rawan El-Komos
